A high school diploma template is a blank certificate layout that gets filled in with a student name, a school, and a date. The file below is a classic landscape layout sized for U.S. Letter (11 by 8.5 inches). It leaves blank lines for the student name, the school, the city and state, the date, and two signatures, and it marks a dashed circle where a school or state seal would sit, left empty so a foil or embossed seal can be added after printing.
Two details are worth knowing before printing. The download has two pages, and page 1 is the certificate while page 2 is a plain notes sheet with printing tips, so set the print range to page 1 for the blank diploma on its own. And nothing on the certificate itself says “template”, “blank” or “sample”, so a printed copy carries no marking that has to be cropped or covered.
Editable, fillable and Word versions
Searches for an editable, fillable or Word version ask for three different things:
- Type on the PDF. The template above is a print-ready PDF and not an interactive form, so there are no clickable fields. Any PDF editor that adds a text box will place typed names on the blank lines before printing, and the free viewers built into Windows, macOS and most browsers can do it.
- Edit the design in Word or Google Docs. Both ship certificate layouts that open as ordinary documents, so the border, the wording and the fonts can all be changed. A word processor file is the right starting point when the wording has to match a specific school or program.
- A true fillable form. Form fields have to be added once in a PDF editor that supports them. That is the version to build when the same blank has to be filled in for a whole graduating class.

What a free diploma template is good for
There are plenty of situations where a template does the job well:
- Homeschool graduations. Whether a parent can issue the diploma depends on the state, and the rules for two of them are set out further down this page. Where a family does issue it, a clean template is a common starting point.
- Props and productions. Theater, student films, and photo shoots need something that reads as a diploma from a few feet away. A template printed on decent paper is enough.
- Gag gifts and celebrations. A “diploma” for surviving a road trip or finishing a group project only has to be funny, not convincing.
- A placeholder for the frame. If a real diploma is lost or still in the mail, a template can fill the frame on the wall until the actual document arrives.
For all of these, the free route works. Download the file, add the name, school, and date, and print it. Where templates disappoint people is when the result is expected to resemble the document a school actually handed out.
What a real high school diploma has that a template does not
Put a real diploma next to a template printout and the differences show up fast:
- The seal. Texas allows districts to generate the seal for a diploma as a digital image, a stamp or an embossed impression, and an embossed or foil seal catches light in a way a printed circle never will. - The paper. Schools print on heavyweight parchment or cover stock, well above the 20 lb copy paper a home printer usually holds, with a different texture and an off-white tone. The guide to what paper diplomas are printed on lists the weights that paper mills actually sell for the job.
- The wording and the signatures. States that regulate the diploma text specify it closely, down to the sentence that certifies graduation and the titles that have to sign. Generic templates use generic wording and leave blank lines.

What a diploma has to say, and who decides
There is no national format for a high school diploma. Each state writes its own rule, and the rules differ more than most template sites admit.
Texas is the permissive end. The Texas Education Agency and the State Board of Education publish minimum standards for the Academic Achievement Record, the official transcript, which run to dozens of required data elements. For the diploma the same document states that “there are no requirements concerning the format of the high school diploma”. What Texas awards is a standard, undifferentiated diploma, and the extras a graduate earns, including the distinguished level of achievement, endorsements and performance acknowledgments, are recorded on the transcript. A seal approved by the State Board must appear on that transcript, and districts may generate the seal for diplomas as a digital image, a stamp or an embossed seal.
Florida is the prescriptive end. Its rule on the form of high school diplomas and certificates of completion sets out the sentence a standard diploma has to carry, naming the student and certifying that all requirements of law and State Board standards for graduation have been met, and it requires signature lines and titles for the superintendent of schools, the school board chair and the principal. Scholar and Industry Scholar designations and the state seals of biliteracy and fine arts are added as a seal, sticker, stamp or text.
New York sits in between. The State Education Department does not publish a diploma layout, but it does define which credential a graduate receives, and students there have access to the local diploma, the Regents diploma, and the Regents diploma with advanced designation. Who may issue a high school diploma
This is where template sites go wrong most often, because the answer flips from state to state.
In Texas, home schooling has been a legal alternative to public schooling since 1994, following the Texas Supreme Court decision in Leeper v. Arlington ISD. The Texas Education Agency states on its home schooling page that it does not regulate, index, monitor, approve, register or accredit home school programs, and that the state does not award a diploma to students who are home schooled. The credential comes from the family running the school, which is why the wording and the paper are worth getting right.
New York takes the opposite line. Its home instruction questions and answers state that a high school diploma may be awarded only to a student enrolled in a registered secondary school who has completed all the program requirements set by the Regents, the school or the district, and home instruction is not such an enrollment. A document printed at home in New York is a family record of completion and carries no state standing.

Where to find free templates, and how to print one well
A specialty site is not needed for a basic template. Word processors ship with certificate layouts, design tools carry free diploma designs, and printable-PDF sites offer fill-in versions. Three habits make a visible difference to the printed result:
- Take the file to a print shop instead of a home printer, and ask for 65 lb or heavier cardstock in an ivory or parchment tone. Ask what the shop charges per sheet for that stock before printing a stack of them.
- Choose a template with a serif or engraved-style typeface. Rounded modern fonts are the fastest giveaway.
- Skip templates with clip-art borders. A thin double border sits closer to a real document than an ornate frame does.

When a template is not enough
No template and no third-party service can produce an official replacement for a lost diploma. That comes from the school or district that issued the original, and the process is covered in the guide to getting a copy of your high school diploma. State education agencies collect data about graduates, and they do not keep the documents themselves.
Official reissues take time, some districts no longer offer them, and some schools have closed. For the wall or the frame, a printed replica high school diploma is a display item made on parchment stock with an embossed seal and state-accurate layouts. It is a novelty product for display only. It cannot be used to claim a credential or to answer a verification request, which the terms of use set out in full.
Where a template becomes forgery
Downloading a blank layout, typing a name into it and hanging the result at home is an ordinary printing job. The document changes character the moment a real school’s name goes on it and the page is handed to an employer, an admissions office, a licensing board or a government agency as evidence of a credential. A template covers the display side only. An official replacement comes from the school or district that issued the original, and employers and schools verify education through that school or its records service.
Sizes vary by district and by era, and several states set no format rule for the diploma at all. Texas states outright that there are no requirements concerning the format of the high school diploma, so there is no single size to copy. Measure the original or the frame before buying paper.
